  • Description: We are looking for an Operations Officer who will be responsible for providing support on operations, finances, and administration at Global Change Data Lab — the non-profit organization that produces Our World in Data.

Global Change Data Lab, the non-profit organization that produces the award-winning web publication Our World in Data, is seeking a dynamic and driven Operations Officer.

Our Operations Officer will be responsible for providing support across several different areas: Strategy, Finances, Operations, Communications and Administration. The ideal candidate needs to be passionate about using all their skills to help Global Change Data Lab thrive, and will be comfortable with a fluid role in a dynamic environment.

This is being offered as a full-time contract based in Oxford, UK. We provide flexible place-of-work arrangements and are happy to consider candidates who are based in the UK but residing outside the Oxford area. Possible arrangements can be discussed further at the interview stage should your application be shortlisted.

Global Change Data Lab (GCDL) is an educational charity with a focus on large global problems and international development. Our flagship project, the web publication Our World in Data (OWID), is focused on increasing the use of data and evidence to make progress against the world’s largest problems. Among those who rely on our work are international organizations, the governments of countries around the world, major businesses and news outlets.

Duties and responsibilities for this job

Management

  • Assist the Executive co-directors in the design and implementation of growth strategies, including financial risk management, scenario budgeting, and operational growth planning
  • Help prepare and implement strategic planning workshops, in conjunction with other team members and academic partners
  • Coordinate the design and implementation of internal management systems, including protocols and policies Prepare and minute General Meetings with the Board of Trustees

Finances

  • Support fundraising campaigns and help manage GCDL’s donation page
  • Coordinate the preparation of grant proposals in conjunction with research staff and conduct conversations with partners and donors
  • Prepare monthly cashbooks, bank reconciliations, management accounts, budgets and other financial reports
  • Review invoices, service orders, and expense claims to ensure payments and expenditure reporting are up to date
  • Conduct donor due diligence and manage donation tax arrangements (including Gift Aid)
  • Help plan and deliver reports on financial and operational progress for internal use, as well as when required by donors and key external stakeholders
  • Coordinate timely completion of accounts for audit
  • Liaise with HMRC in relation to tax payments and related queries

HR and Operations

  • Establish internal HR procedures and undertake administrative duties related to hiring, onboarding and managing staff and contractors
  • Help design and maintain a dynamic recruitment pipeline
  • Monitor, maintain and improve office systems, equipment and office supplies
  • Provide support with regulatory responsibilities
  • Undertaking other general administrative duties as reasonably required by the Executive co-directors

Communications

  • Help manage social media accounts, newsletters and mailing list campaigns
  • Coordinate external communications channels and correspondence, including emails and feedback forms

About You

Required for you to be considered

  • Undergraduate degree
  • At least 2 years of professional experience as a project manager or in similar roles
  • The pre-existing right to work in the UK (at time of recruitment). We are a small organization and unfortunately do not have the administrative capacity to sponsor visas.

Personal characteristics we look for

  • Excellent written and oral communication skills, especially the ability to explain your views clearly and frankly but also tactfully
  • Skill in processing and interpreting data, particularly as it relates to operations and administration
  • Ability to make decisions under uncertainty and to assess potential institutional risks
  • Proactive, assertive and action oriented; drive to work without supervision
  • Conscientiousness and attention to detail
  • Curiosity, openness to new ideas, flexibility to learn from new evidence and receive feedback

Other relevant skills and experience

  • Previous knowledge or strong interest in global development
  • Experience with social media and communications strategies
  • Experience working with nonprofits or startups

  • The final step would be an interview (30–45 minutes) with members of our senior leadership team. We’ll learn more about you, especially your overall fit with our team; and you’ll have the opportunity to ask us questions.
  • Lastly, we’ll either extend an offer or let you know that it’s not a good fit at this time.
  • We expect that the entire application process will take 4–6 weeks. If the position is not filled, we will reopen with a new deadline.
